Data we collect

From contact forms and email: name, email address, engagement interest, optional review timing, and the content of your message. During engagements we may process business contact details of your staff and, where necessary to prepare evidence packages, documents that incidentally contain personal data (for example employee names on approval stamps). We ask clients to minimise personal data in shared working papers.

Purposes and legal bases

  • Responding to enquiries and scoping engagements (legitimate interest / pre-contract steps).
  • Performing contracted evidence-readiness work (contract performance).
  • Meeting accounting and legal record requirements (legal obligation).
  • Optional analytics cookies only if you accept them (consent). See our Cookies page.

Retention

Enquiry messages are retained up to 24 months if no engagement follows. Engagement files are retained for at least seven years or longer when required by applicable professional or legal rules, then securely deleted or returned as agreed.

Your rights

Subject to Taiwan personal data protection law, you may request access, correction, deletion, or restriction of processing, and you may object to processing based on legitimate interests. To exercise rights, email hello@cloudoptima.digital. You may also lodge a complaint with the competent Taiwanese authority.

International transfers

If document hosting or email infrastructure stores data outside Taiwan, we use providers with appropriate safeguards (such as contractual clauses) and inform you in the engagement letter when material transfers are expected.

Security

We apply access controls, encrypted transit where supported, and need-to-know limits for engagement files. No method of transmission is perfectly secure; please avoid sending unnecessary sensitive personal data through the website form.
